Enhancements to the Payroll Productivity Solutions

Our Payroll Productivity Suite offers a range of tools to simplify the daily tasks of the Payroll and HR team. These mature solutions have continually evolved to meet the needs of our customers, with numerous new features added over time. Some of these enhancements are outlined below.

As more and more customers are using the HXM solutions through browsers, as of this release we have a version of Easy Reporter that is fully FIORI compatible. This allows for full execution and building of reports, without needing to use SAPGUI any longer. Many advanced features are included in this release including ability to easily run background reports and view the results in the WebUI without needing to resort to viewing spool files.

In addition, we have added many core features to the standard solution, including the ability to customize emails or email files to include fields from the reports. The bulk scheduling that we recently added has also been expanded with new features to better maintain the existing bulk runs.

For those customers using Easy Reporter Lite, we have expanded the menus to include the pre-delivered reports, and allow you much more flexibility in building reports (Just like you are using full Easy Reporter).

Lastly, we have continued to add to the data you can get, including a much requested feature of being able to report historical ORG/PD information.

For customers using Easy Reporter with the SuccessFactors Connector, we have added the ability to report the hierarchy of the Department, Division and Position.  This is similar to the widely used feature in Easy Reporter where we can report the Organizational Hierarchy.

In addition, you can now easily add to the data sources available in SuccessFactors by simply ticking extra entities to include in the reporting fields. 

Effortless Data Cloning with Easy Clone: SpinifexIT’s data cloning and anonymization solution provides customers with a quicker and simpler method to create test data using their most recent production data before launching their payroll system live. With the Employee Central Extension, this data can also include the Employee Central Data.

This release includes enhancements to further improve the copy process. New data options include the ability to copy the USA tax reporter data. There is also the ability to now scramble/randomize more tables, including both employee and configuration tables.  For the employee central copying we have improved the solution in several areas including the ability to check for fields that are not writable in the target system.  We have also made several improvements to the way the pick-lists are handled for customers who have pick-lists using Labels.

Easy Migration and Easy Go Live solutions can assist you with migrating to a new system or implementing a new environment, whether you have been using SAP solutions for a long time or are just implementing SAP S/4HANA or Employee Central Payroll.

Easy Migration can easily transfer your configuration to a new environment with minimal effort. If you want to clean up your configuration, remap it to new values, or merge multiple systems, this is the ideal solution for you.

Enhancements to this solution include many more tables that you can remap the configuration for when moving from system to system.   For merging systems or just tidying up your configuration this adds many additional data sources.

In addition, we have started to add the SpinifexIT tables, so you can easily transfer our product to your new system.  We have started with Easy Reporter, but will followup with the other products soon.

Easy Go Live allows you to migrate your employees to your new SAP system (ECP or S/4HANA) with ease. It includes embedded testing and analysis tools to ensure that your payroll functions the same in the new system as it did in your legacy system.

This release includes features to include statistics on the parallel run screens of the number of records.  It also makes it much easier to set up the solution to drill down into the data to examine an employee – When comparing to an external system that the data is being loaded from a local file.

We have also added the ability to transport Scenarios and Status Codes to a new environment.  This makes the setup and maintenance much easier as you move from system to system.

Easy Reporter continues to expand in terms of both usability and functionality. It now includes new, improved screens that allow you to customize Conversion Settings to define exactly how you want your data to appear. Additionally, you can further tailor the Payroll Results output using the new Sign Reversal feature.

Did you know you can directly load the data from an Easy Reporter report into the SAP Analytics Cloud solution?

This capability has now been extended to include the ability to import reports into Excel, PowerBI, and many other solutions using the Easy Reporter oData Connector.

And, you can now use Easy Reporter to push data from a report and trigger a Strato Workflow, which enables you to create documents or integrate with Strato Automate for email distribution.

For customers using Easy Reporter with the SuccessFactors Connector, this allows the merging of your HR and Payroll Data.  Enhancements include the ability to report manager details from SuccessFactors and improved performance of reports through automatic control of query size.

(Including Easy Clone for Employee Central)

Easy Clone has become increasingly popular among customers as a way to quickly create test scenarios using production data, including the ability to copy Employee Central data. As a result, the solution has continued to evolve and improve.

This release includes enhancements to the selection options in Easy Clone to help you choose the correct employees to copy. You can now add your own HXM selection fields, including custom info-types, to select SAP employees. If you are using the Employee Central extension, you can also now use selection criteria such as department, division, business unit, and more directly from SuccessFactors.

Further enhancements include new views for the Audit Logs, which have been enhanced for better investigation of issues.

Enhancements to this solution include the ability to see which countries are available for copying. When copying Payroll Schemas, these have been moved to their own copy type. If you are cleaning up configuration or merging multiple payroll systems together, additional configuration tables can now be remapped during migration.

Easy Go Live allows you to migrate your employees to your new SAP system (ECP or S/4HANA). It includes embedded testing and analysis tools to ensure that your payroll functions the same in the new system as it did in your legacy system.

This release includes new menus and content designed around best practices for migrating to a new system, implementing Employee Central, or implementing SAP HXM for the first time.

Parallel Run Testing has been improved with the ability for the entire team to simultaneously view and edit differences, as well as new, improved methods for investigating issues, including direct access to your old SAP environment. If you are comparing to a legacy (non-SAP) system, you can now use simpler methods for handling import files when comparing to non-SAP systems.

User-Friendly Strato Forms Offers New Solution

Build more user-friendly documents with the dropdown fields in the new Strato Forms. Use data from a pre-configured list or supported entities of SAP SuccessFactors for a workflow based on the user input (field selection from a dropdown list, text input, radio buttons, etc.).

supports more field types that form creators can use to build more user-friendly forms with Dropdown Fields and add attachments with the File Upload Feature.

Adding Dropdown Lists to your forms allows you to display a range of predefined values from which to choose. Users click on an option from the list to provide an answer and go on to the next step. For example, you can add a Dropdown List where the values link to a SuccessFactors picklist. 

A much-desired feature we’ve added is the File Upload Field. This form field enables the user to upload/attach a file via Document Generation.

Use this feature for form templates that require documents to be attached or routed to the user or approver, such as records and other official documents.

The assigned workflow changes dynamically based on the completed form due to Strato Forms’ conditional content logic capabilities.

Organizations can dynamically build more custom workflows based on the employee’s form input/responses. This is invaluable to onboarding and offboarding, performance evaluations and reviews, employee engagement, and training.

We’ve made Strato Forms a fully integrated solution. No need to host forms externally and manually upload/include the data. Instead, seamlessly include essential information into your Strato Automate and Strato Storage workflows.

The Preview Changes feature helps your documents retain that official appearance. This allows you to check for problems such as page breaks and formatting errors, eliminating them before converting to PDF form.

The latest Strato release improves compliance with legislative and data privacy requirements and enhances process efficiency, speed, security, and user experience.

Customers of Strato, the innovative document generation solution from SpinifexIT, can now benefit from significant enhancements to the platform, including improved data privacy compliance through Strato Storage, the company announced today. Strato enables smart HR and Payroll document generation and automated communications directly from SAP SuccessFactors to help SAP customers make the most of their SAP investment.

The new updates include SpinifexIT’s latest version of Strato Storage, which enables HR teams to easily and securely view, store and retrieve documents, letters, and forms from the cloud.

This latest Strato release – Strato 1.19 – substantially improves storage and document retention, and legislative and data privacy compliance, enables dynamic number formatting, and allows customers to improve process efficiency and build custom forms.

SpinifexIT’s Strato Storage allows users to quickly store HXM documents.

A key improvement in the latest version is enhanced compliance with document legislative and data privacy obligations. Strato Storage now allows users to retain and access documents relating to employees with pending claims, disputes, or litigation issues, even after employees have left the company.  Strato Storage is aligned with global and local legislation across data retention and privacy requirements such as GDPR.

Easier Document Retrieval

Since its initial release, SpinifexIT has significantly expanded and improved the Strato Storage functionality, including integrating Strato Storage across automated workflows, to make finding documents easier. 

Compatible with SAP SuccessFactors Recruiting, Talent, and Employee Central, Strato Storage integrates fully with Strato Documents and Strato Automate, allowing organizations to embed it into their existing Strato investment at the click of a button. 

The new functionality included in Strato 1.19 allows for better document tagging and categorizing files within Strato Storage.  SpinifexIT will also add improved search functionality in the second half of 2022.

Single Screen View

Strato storage offers a flexible, centralized, single-screen view of all available documents in relevant folders across every SAP Successfactors module via the Strato dashboard from the SAP SuccessFactors home page, including job offer letters and contracts for both HR teams as well as employees when allocated the necessary self-service access.

Strato administrators can also assign permissions to employees so they can easily upload their documents to complete their digital Personnel file in Strato Storage, and also download them, in a fully protected environment compliant with major data security protocols using the latest data encryption.

Dynamic number formatting in Strato Documents

Creating documents with multiple clauses is now much simpler in Strato 1.19. Previously, Strato users could only enumerate document clauses using a conventional numbering format. With this new release, document designers can enumerate clauses and add sub-clauses while applying business rules to show or hide specific content – especially useful when creating contracts and other legal documents that require multiple stipulations.

Improved process efficiency across the Strato Suite

This latest Strato release enables customers to include more actions into their custom workflow to further expedite the document management process. For example, users now have the option to strengthen data privacy compliance by setting automated document expiry and deletion dates, and automatically deactivate terminated employees. They can also integrate Strato with third-party applications such as CRMs and internal ticketing systems.

Today, SpinifexIT announces significant updates to its Easy Suite solutions which helps customers accelerate payroll migration to the cloud, de-risk SAP Employee Central Payroll implementations, improve SAP Payroll Control Center configuration abilities, and enhance the creation of robust SAP Payroll and SAP SuccessFactors reports.

The Easy Suite solutions include Easy Reporter, Easy PCC, Easy Migration, and Easy Go Live among others, and are designed to expedite migration for customers implementing SAP Employee Central Payroll or migrating to Employee Central Payroll or S/4HANA.

New features to the Easy Suite range announced today include:

Payroll Reporting and Reconciliation

SpinifexIT’s payroll and reconciliation products, including Easy Reporter and Easy PCC, help customers improve payroll reporting, error analysis, reconciliation, and employee inquiry resolution. They also enhance flexibility and access to SAP SuccessFactors fields while building custom reports with the Easy Reporter web reporting solution.

In addition, they help speed up the SAP SuccessFactors Employee Central data copying processes and implementation and configuration of SAP Payroll Control Center.

Easy PCC accelerates implementation and allows re-use of many existing Easy Reporter reports to help customers who are planning to implement the Payroll Control Center migrate to the new environment. It also provides additional functionality for specific HR and payroll scenarios – all without having to create custom code.

Easy Reporter improvements

SpinifexIT Easy Reporter has now been enhanced with new advanced Exception Reporting and the ability to execute multiple reports in one run. It now includes more customer SAP SuccessFactors data, such as new time-related fields and SF data, and allows users to set their preferred date selection to build more accurate, complete reports with the SuccessFactors Connector.

Migration Solutions

SpinifexIT migration solutions are designed to streamline and transform cloud implementation and migration. Easy Migration and Easy Go Live are two powerful solutions that offer huge time savings and substantially reduce cost and effort required for payroll transformation for SAP Employee Central Payroll customers.

Easy Migration improvements

With the enhanced SpinifexIT Easy Migration, users can now easily add their own tables (including Z tables). It also allows better control over what configuration is copied between systems and options for remapping the configuration during the copy.

Easy Go Live improvements

SpinifexIT’s Easy Go Live’s improved parallel run screens and new drag-and-drop functionality make setting up this activity much easier and more intuitive. The new features for a Parallel Run enable the grouping of data into Teams for better investigation, and improve audit logs as well as control over flowing raised issues from run to run. In addition, customers can now use Easy Go Live to upload SAP Infotype data directly from a flat file.

Remote Activation

In addition to the Easy Suite enhancements announced today, SpinifexIT is also offering its customers the option of activating 2022.R1 remotely via an activation key. SpinifexIT officially supports release versions for 15 months after the first release date.

Strato 1.18 includes new features around its Strato Storage, Strato Sign and Strato Automate tools. Automate the assignment of your documents’ validity with Strato Storage

• Apply validity rules to your stored documents

Sign your PDF documents with Strato Sign

• Previously, only documents generated and routed via Strato can be signed with Strato Sign
• The 1.18 release allows users to sign uploaded PDFs with• Strato Sign within the same workflow
• Signatures may be embedded anywhere within the document with a drag-and-drop tool

Eg. HR uploads a year-end tax declaration and payment PDF from a third party vendor and sends a copy to the employee.

The employee may sign the PDF version of the form before it is routed back to HR. As soon as HR completes signing the declaration form, a signed copy of the PDF is forwarded to both the employee and HR.





Access tooltips to setup your workflows faster in Strato Automate

• Validate the fields you use in your documents and workflow by viewing tooltips
• This gives you info about the field’s Field Label, Field Group, API path, and Key Field value (if there’s any)
• Assign default key fields to make field selection faster

Eg. An employee may have three email addresses stored in their SAP Successfactors profile (Business, Personal, Other). Their Business Email can be assigned as their default key field in Strato to centralize all communications to the email.





Manage your data fields better

• Build complete documents by having more access to additional fields and information
• Link custom fields and entities to show stored metadata in SAP SuccessFactors

Eg. Building a complete Talent Card not only entails getting information from SF Employee Central and the employee’s profile.

With this feature, you can also get field information from SAP SuccessFactors’ Performance, Goals, and Succession Planning modules and combine them to build a comprehensive talent card.

Victoria, AU – Today, SpinifexIT announced the scheduled release of its second major 2021 software update (2021.R2). The update includes new solution features that accelerate payroll migration to the cloud, de-risk Employee Central Payroll implementations, improve SAP Payroll Control Center configuration abilities and extend the features available for the creation of robust SAP Payroll and SAP SuccessFactors reports.

In 2020, we released two solutions that help our customers and partners streamline and transform their cloud implementations and migrations. Here are some updates for Easy Migration and Easy Go Live:

  • We have included the ability to set reason codes and case reference numbers to highlighted variances / differences.
  • We added pre-delivered content to streamline comparisons of a customer’s prior SAP system or for a non-SAP system.
  • We added automated mapping of employee numbers when comparing data to the old system.
  • Easy Go Live now links to Easy Clone Lite for limited employee cloning and Easy Help Desk Lite for investigation of errors.
Easy Reporter

More options to help you build your HXM & Payroll reports

We’ve included updates to Easy Reporter with a larger focus on SAP SuccessFactors reporting and better access to reports via the Web Reporting solution.

  • More flexible control over the timing of the import files.
  • Additional fields, tables, infotypes, and clusters to improve your Easy Reporter Web Reporting usage.
  • New SAP SuccessFactors selection fields (with SAP SuccessFactors Connector for Easy Reporter). 
    • Selection fields available on any report (even non-SuccessFactors reports)
    • Ability to select using the SuccessFactors hierarchy and filter the report based on the organizational structure
    • Buffering of selection data to improve performance
    • New selection fields also available in Web Reporting
  • Filter data after reports have been executed via Web Reporting.
Easy Clone

A faster way to copy your Payroll & SAP SuccessFactors employee data

Easy Clone enhancements include more options for Employee Central data copying as follows:

  • Speed up the data cloning process when you copy thousands of employees in a single transaction.
  • Improved audit logs to understand and troubleshoot issues with the copied data.
  • Customers who are upgrading may now copy from non-unicode to unicode systems.
Easy PCC

Migration to the Cloud (ECP or S/4HANA Streamlined Payroll reconciliation with our PCC solution

Easy PCC continues to evolve and offer more functionality to SpinifexIT customers:

  • Error analysis web reporting screens have been refined to ensure a better integration with the look and feel of the Payroll Control Center.
  • Ability to set alert dependencies which stops duplicate errors from being displayed if the employee was reported in another prior error.
  • Better control over advanced dates, which allows for error checks to look at more than just the current pay period.
  • Links to Easy Help Desk Lite for error investigation without the need for the full Easy Help Desk activation
  • Blank reports are now included in Easy PCC, which no longer require the full activation of Easy Reporter.

VICTORIA, Australia, Aug. 25, 2021 — SpinifexIT today announced the latest release of Strato, its innovative document management solution for SAP SuccessFactors.

The new release contains updates that enable even tighter integration with a customer’s HXM processes through the addition of highly customizable workflow automations and new document storage capabilities.  

Strato enables smart HR and Payroll document generation and automated communications directly from SAP SuccessFactors.

Each document workflow is flexible and can be modified to precisely fit an organization’s unique internal processes.

Strato eliminates the need for manual document generation and routing effort, making HR and Payroll processes more seamless and efficient.

We are pleased to announce the release of our latest update for Strato. Strato 1.17 includes new features around its workflow, dashboard, and storage functionality which further optimize your SAP SuccessFactors document generation.

Strato 1.17 will be deployed for UAT on August 29, 2021 and will go live on Production by mid-September. You may view the release calendar here.

New tools to extend SAP SuccessFactors document automation and compliance capabilities

Expedite your document’s routing, approval and e-signing process by setting time-based conditions in your Strato Workflow.

Trigger email reminders, automatically accept or reject changes and documents, and execute a corresponding workflow immediately after without any manual intervention.

Examples:

• Auto-approve a Job Offer Letter on behalf of the Manager before proceeding with sending it to the Candidate

• Add an automated email reminder for a Candidate if they have not yet signed their Job Offer two days after receiving the letter. 

• Auto-reject the Job Offer Letter and stop the Recruitment Workflow process if the Candidate does not Accept / Reject the Job Offer Letter five days from its issue date


Improve your Data Privacy Compliance (GDPR, etc.) by adding document archiving and deletion automations.

Strato Storage can now allow Administrators to automatically change a document’s status based on their validity, expiry, and compliance laws.

Examples:

• Automatically archive Performance Documents from two years ago

• An option to delete the digital documents of employees who are no longer in the company for 1 year

• Tag a document (Passport, ID, Visa) as “expired” once it gets past its validity date and send an automatic prompt to the Employee to renew 


Attach supporting documents into your approval workflow. HR may also attach PDF files to a document being sent for routing and e-signature.

This enables them to provide their recipients and signatories with the full information in line with the document they are reviewing and signing.

Examples:

• Include a PDF copy of the Job Description alongside the Job Offer Letter for signature

• Attach the past Performance Evaluation results of an employee when routing the new Performance Forms to the Manager and Employee

• Append a new Total Compensation Statement alongside the Merit Increase acceptance process

Improve your HXM document generation and employee experience

Generate documents using the employee’s ‘pending’ data to aid during your Employee Movements and Change of Compensation discussions. Have the ability to show the employee their new Position Title, Compensation and Benefits package during your discussion.

Empower them to decide with the right information on hand before making it official. Integrate this process seamlessly into your workflow in this release.

Here’s how this feature works at a basic level.

Likewise, once the pending data has been approved in SAP SuccessFactors even for future effectivity, employees may generate a version of their documents that show their new information- as long as it has already been approved. 

Examples:

• An employee is due for an increase on October 1, 2021. The increase has been approved as early as today, but will only reflect on the employee’s paycheck in October.

• Extend your managers’ reach. Allow people managers to generate documents both for their direct and indirect reports. 

• Integrate Strato with other 3rd party apps. Enable Strato to send and store a document in your CRM system (Salesforce, etc.), other parts of SAP SuccessFactors, or via SAP Archive Link.
