In today’s world, there is a growing need to not only have quick access to information but also to share it securely with colleagues or external parties.

Whether for reports, interfaces, or documents, sensitive information often needs to be checked before distribution, and data should be moved easily without manual intervention.

This is what the Strato Distribute solution is designed to do.

Meet Strato Distribute

With Strato Distribute, you have access to an automated Workflow Engine that allows you to build your ideal distribution approach. With features such as encryption, digital signatures, and the ability to securely connect to external solutions, it is the perfect tool for moving your HCM data.

Fully integrated with SpinifexIT Solutions’ Easy Reporter and Easy Documents, this solution is designed to flexibly accommodate your distribution needs.

All of this can be managed by the HCM team without involving the IT team in the creation and distribution of information. With predefined distribution options, you can be up and running in a matter of hours.

  • Ability to check & approve a file before distribution (Ex: bank transmission)

  • Email file with Encryption/Password protection

  • Save to secure FTP server

Extend Easy Reporter Output Capabilities

With Strato Distribute, you can now send through the file output from any report to a automated workflow, then securely move this file to another location.

If required, you can password protect, or encrypt the file that is sent through.

This can be done without the need to install 3rd party software into your SAP environment.

Built-in Approval Process available

If you have the need to check or approve a transmission file before sending it out, you can now include an approval step where the workflow can require approval before sending this out.

An example could include a Bank File Transmission that needs approval or sign-off before sending this to the bank.

The file that is sent to Strato could be stored onto a SFTP server.

Store Report output in Customers Cloud Drives
Connections out of the box for OneDrive, Box, Google Drive and more.

Connect to 3rd Party Solution
Much like the SFTP server, files could be sent to 3rd party solutions which can accept API calls.

Connect via SAP Cloud Integration
For more complex integrations, for those customers who are already licensed for SAP Cloud Integration (SCI), you can also set your workflows to flow to SAP Cloud Integration iFlows.

The advantage of using Strato Distribute in this case, is that you can incorporate workflow approvals before flowing to the SCI solution.

The file can be sent via Strato Distribute Email, or even use your own company’s SMTP server to distribute the output.

Format your email as you need
The need to provide a better Email format. SAP has a number of limitations for emails created inside of standard SAP.

With Strato emails, we can:

  • Format the email text with different fonts, font sizes, formatting (Bold, Italics, etc)

  • Insert graphics - headers or as background on the emails

  • Insert links to web pages

  • Include fields passed from the reports to the emails

  • Integration into Strato Storage (Additional License for Strato Storage)

Store Historical Reports in Strato Storage
For customers who are licensed for the Strato Storage solution, this also allows you to now save report output directly into Strato Storage folders.

  • Store results from weekly or monthly reports – Reconciliation, finance monthly
  • Create a file repository for Managers or Business Departments
  • Trigger a Automated Workflow per Report Record

With Strato Distribute, it is possible to not only send through a file, but also it is possible to use this to trigger a Strato Distribute Workflow process.

 

 

Some examples may include:

  • Trigger an email when an employee has an overpayment
  • Trigger an email for a group of employees in a particular location

For customers with Strato Documents, you can also use this to trigger the creation of a document.

How does this work?

This requires a connection from your SAP Environment to the Strato Cloud Platform Solution, along with licensing for Strato Distribute. The pre-delivered workflows will work out of the box. All you need to do is to supply the authentication settings to connect the Strato Cloud Platform to your external systems.
